Horizon Pack and Ship LLC (“Horizon,” “HPNS,” “we,” “our”) operates this freight quoting site at freight.horizonpacknship.com. This policy explains what we collect when you request a freight quote or approve a shipment, how we use it, and who we share it with. This policy supplements the general privacy policy at horizonpacknship.com/privacy; in case of conflict, this freight-specific policy governs the freight subdomain.
1. What we collect
When you request a freight quote, we collect:
- Contact information — first name, last name, business name, phone, email
- Shipment details — origin and destination ZIP codes, total weight, freight class, dimensions, piece count, commodity description, requested accessorial services
- Procurement type — whether the shipment is designated as federal/government for FAR-compliance documentation purposes
- Technical metadata — IP address, browser user-agent, timestamp, Cloudflare Turnstile bot-challenge token
When you approve a quote and proceed to payment, Intuit Payments Inc. (our payment processor) collects card or bank account information directly on Intuit's hosted page. We never see or store your card number, bank account number, or security codes on our servers.
2. How we use it
- To return a live freight rate via our carrier network
- To create a quote record you can review and approve at a unique URL we issue you
- To generate an invoice if you approve the quote
- To coordinate pickup, transit, and delivery
- To follow up with you about your quote if you do not approve within the validity window
- To produce procurement documentation (PDF comparison quote) when you flag the shipment as federal/government
- To comply with legal, tax, and federal contracting recordkeeping requirements
3. Who we share it with
We share only the data each partner needs to do its job:
- C.H. Robinson Worldwide, Inc. — origin / destination ZIPs, weight, freight class, dimensions, piece count, commodity description, accessorial service requests. Used to source live carrier rates and arrange transportation.
- Selected motor carrier — your business name, pickup contact, pickup and delivery addresses, and shipment details required to physically move the freight.
- Intuit Payments Inc. — your name, email, business name, invoice amount, and shipment reference for billing and payment processing.
- HighLevel (GoHighLevel) — your contact information, shipment summary, and quote URL for our customer-relationship management and follow-up communications.
- Supabase — our database vendor; stores your quote and booking records on US-based AWS infrastructure.
- Cloudflare — provides bot-protection (Turnstile) and DNS for the site.
- Vercel — hosts the site.
- Government agencies — when required by law or to comply with federal contracting recordkeeping (FAR 4.703, 3-year retention).
We do not sell, rent, or trade your information for third-party marketing. We do not share your email or phone number with marketers outside the partners above.
4. Communications
When you submit a quote request, you consent to be contacted by our freight team about your request. Marketing or promotional communications are sent only with separate opt-in and you can unsubscribe at any time via the link in any marketing email or by replying STOP to any SMS. We comply with the CAN-SPAM Act and TCPA.
5. Security
Communications between your browser and our site are encrypted in transit via TLS. Sensitive credentials (API tokens, refresh tokens, secrets) are stored encrypted at rest in Vercel and Supabase. Payment card data is processed entirely on Intuit-hosted pages; our system is PCI DSS SAQ A scope (we never touch card data). Access to administrative systems is restricted to authorized HPNS personnel with multi-factor authentication.
6. Retention
Quote and booking records are retained for 3 years after final payment to comply with federal contracting recordkeeping requirements (FAR 4.703) and Kentucky business records norms. Marketing-opt-in records are retained while your subscription is active and for a reasonable period after unsubscribe for suppression-list purposes.
7. Your rights
You can ask us to:
- Access the information we have about you
- Correct inaccurate information
- Delete information not required for legal, tax, or contract recordkeeping
- Unsubscribe from marketing communications
Send requests to support@horizonpacknship.com. If you are a California resident, you have additional rights under the CCPA/CPRA; we honor those for all customers regardless of residency.
8. Cookies and analytics
We use only the functional cookies needed to operate the site (session, bot challenge). We may add server-side or first-party analytics in the future; if we do, this policy will be updated and visible from the link in the footer.
9. Children
Our services are intended for businesses and individuals over 18. We do not knowingly collect information from minors.
10. Changes to this policy
We may update this policy. Material changes will be reflected in the “Last updated” date at the top. Continued use of the site after an update constitutes acceptance.
